AI Meeting Notes That Actually Work: A Setup Guide

For the first two weeks: after each call, one person on the team checks the action items section against what was actually agreed. Not the full summary — just actions and owners. The specificity forces the AI to parse the transcript for structure rather than producing a flowing summary. You'll get more misses on ambiguous conversations, but the output you do get is directly actionable without interpretation.

The Two Pitfalls That Kill Adoption

Pitfall 1: The bot joins and nobody knows what to do with the notes. The team gets transcripts in their inbox, opens them twice, and stops looking. This is a routing problem, not a tool problem.
